How to Convert PDF to Excel Free (Tables and Data Extraction)

Extract tables and data from PDF files into Excel spreadsheets. Free methods using online tools, Google Docs and Adobe β€” step by step.

Why PDF to Excel Is Difficult

PDF was designed for displaying content, not for storing structured data. When you create a PDF from Excel, the rows and columns are converted into fixed positions on a page β€” the underlying table structure is lost.

Converting back to Excel requires software to analyse the positions of text elements and reconstruct the table structure. This works well for simple tables but struggles with:

  • Complex multi-level headers
  • Merged cells
  • Tables that span multiple pages
  • Mixed content (text and tables on the same page)
  • Scanned PDFs (which are images, not text)

Method 1: Adobe Acrobat Online (Free, 1 File Per Month)

Adobe offers limited free PDF to Excel conversion:

1. Go to acrobat.adobe.com

2. Sign in with a free Adobe account

3. Go to Convert PDF β†’ PDF to Excel

4. Upload your PDF

5. Download the Excel file

Free accounts get a limited number of conversions per month. Quality is generally good for simple tables.

Method 2: Google Sheets (Free, Works Well for Simple Tables)

1. Go to drive.google.com and upload your PDF

2. Open it with Google Docs (right-click β†’ Open with β†’ Google Docs)

3. Google Docs converts the PDF and shows the content

4. Copy the table data

5. Open Google Sheets and paste

This works reasonably well for simple PDFs with clear table structures. Complex formatting often breaks.

Method 3: Extract as Text and Reformat

For PDFs where conversion tools fail, extracting the text and manually reformatting it in Excel is often the most reliable approach:

1. Go to PDF to Text

2. Upload the PDF

3. Copy the extracted text

4. Paste into Excel

5. Use Excel's Data β†’ Text to Columns to separate the data

This takes more work but is accurate for any PDF with actual text (not scanned).

Method 4: Breklo PDF to Excel (Coming Soon)

Server-side PDF to Excel conversion using LibreOffice is on the Breklo roadmap. For now, the text extraction method is the most reliable free option for complex tables.

Tips for Better Results

  • Simple PDFs with clear table borders convert more cleanly
  • Make sure the PDF is text-based, not scanned
  • After conversion, always review the data carefully β€” column alignment and number formatting often need manual correction

Frequently asked questions

Can I convert a scanned PDF to Excel for free?

Scanned PDFs are images with no text data. You need OCR (Optical Character Recognition) software first. Google Drive's Google Docs can run OCR on scanned PDFs, after which you can copy the table data.

Does Breklo have a PDF to Excel tool?

PDF to Excel conversion requires server-side processing and is on the roadmap. Currently, Breklo offers PDF to Text for extracting all text content, which you can then paste and reformat in Excel.

What is the best free PDF to Excel converter?

Adobe Acrobat online offers the most accurate conversion for free (limited uses per month). For simple tables, Google Sheets works well. For the most reliable results, extracting text and manually reformatting is the fallback.

Why does my converted Excel file look wrong?

PDF tables lose their structure during creation. Conversion tools reconstruct the table from text positions, which is imperfect for complex layouts. Simple, single-column tables with clear borders convert most cleanly.

Can I convert multiple PDF pages to Excel?

Yes, but multi-page tables are harder to convert cleanly. Tables that span pages often have alignment issues. Review each page of the output carefully.

Is PDF to Excel conversion free?

Adobe Acrobat online offers free conversions with a free account (limited per month). Google Docs and text extraction methods are completely free with no limits.
